Job Summary
We are seeking a detail-oriented and bilingual (Arabic/English) IP Clerk to support the Trademarks and Patents teams at Eldib & Co Attorneys at Law. The role focuses on day-to-day administrative duties, ensuring the accuracy of records, documents, and deadlines to maintain a high standard of client service within the Intellectual Property department
Job Description
As an IP Clerk, you will:
Open and maintain orderly physical and electronic files; scan and archive documents.
Work within the firm’s IP matter management system to generate trademark, patent, and design forms and produce standard documentation in Arabic and English for filing and follow up.
Create and update matter records, deadlines, and statuses with audit-ready accuracy; keep checklists and dockets current.
Control originals, legalized documents, and powers of attorney.
Coordinate certified translations between Arabic and English for office actions, decisions, and client communications.
Produce routine letters and worksheets using firm templates.
Place/receive calls and, when needed, handle in-person follow ups with the Egyptian Trademark Office and Patent Office regarding filings, examinations, and certificates.
Coordinate with attorneys, paralegals, and foreign associates on instructions, document flows, and timelines.
Arrange courier shipments of certificates and original documents to clients, track airway bills, and receipts.
Own the statutory calendar for filings, responses, renewals, annuities, and recordals, issuing reminders early.
Check work product for completeness, correct file numbering, and the latest document versions before circulation.
Compile monthly registers (new filings/registrations, pending certificates, upcoming deadlines) for team reporting.
Redraw or adjust basic patent drawings to meet local formatting rules when requested.
Draft invoices for official fees, translation, and professional charges; liaise with Accounting for issuance and follow up.
Requirements
Education: Bachelor’s degree (any field; administrative background preferred).
Experience: Administrative and clerical experience preferred; no minimum years required.
Computer Skills: Proficiency in MS Office (Word, Excel, Outlook).
Language Skills: Excellent written and spoken Arabic & English.
Other Requirements: Female candidates only; Egyptian nationality; age 30–40.
Work Mode: On-site, full-time in Shatby, Alexandria (office-based).
Reporting To: Senior IP Agent.
