Onboarding & Welcome Management
We are looking for a detail-oriented Junior Administrator – Onboarding & Welcome Management to support onboarding and facility access processes for external workers and vendors. This role plays a key part in ensuring smooth onboarding, accurate data management, and timely coordination with multiple stakeholders in a fast-paced operational environment.
This position is ideal for an early-career professional who is organized, responsive, and eager to gain exposure to large-scale operations and onboarding processes.
Key Responsibilities
Onboarding & Access Support
Support the submission and follow-up of access and badge requests through internal onboarding tools.
Assist in coordinating facility access permissions for different business units.
Support processing of short-term and escorted worker badge requests based on provided data.
Onboarding Administration
Collect, review, and verify onboarding information from internal teams and vendors.
Assist in completing onboarding forms and questionnaires accurately (job titles, start dates, classifications, cost centers).
Support vendor setup processes and ticket creation when required.
Coordinate badge printing requests and follow up on status with security teams.
Database Management & Reporting
Maintain and update onboarding tracking databases (Excel) with accurate and up-to-date statuses.
Support maintaining a master list of vendors and onboarding records.
Ensure data accuracy and proper documentation across all onboarding activities.
Stakeholder Communication
Respond to onboarding-related inquiries within agreed timelines during business hours.
Follow up with vendors to collect missing information or documents.
Provide status updates and escalate issues or delays when needed.
Requirements
0–2 years of experience in administration, operations, HR support, or a similar role (fresh graduates are welcome).
Bachelor’s degree in Business Administration, Management, or a related field.
Very good written and spoken English.
Strong attention to detail and high accuracy in data entry.
Good organizational and time-management skills with the ability to handle multiple tasks.
Comfortable using multiple systems and tools simultaneously.
Good working knowledge of Microsoft Excel (data entry, basic reporting).
Reliable, responsive, and able to work in a fast-paced environment.
